If you are reading this, you probably received a business email from us or from a solar company we work for. This page explains in plain words why, where we found your details, what we do with them and how you can stop it. If you want us to stop right now, reply to the email with "remove" and you will not hear from us again.
Who we are
Agentic Solar is based in Vienna, Austria. We build and run outbound email systems for solar companies, such as installers, roofers, developers, manufacturers, distributors and energy companies. We find businesses that fit what a solar company offers, write to the people who decide about it, and book meetings for those who are interested.
For this outreach we are responsible for your data under the GDPR. You can reach us at nikon.mazur@agentic-solar.com.
Why you got the email
One of our clients, a solar company, asked us to find businesses that fit its offer, for example by type of company, size, region or buildings. Your company matched those criteria, and your role suggested that you are the person who would decide about it. That is the only reason we wrote to you.
Our emails are sent from separate sending domains that we set up and run for outreach. Depending on the campaign, the email is written in our name or in the name of the solar company we work for.
Where your data came from
We found your details in public sources and business data services:
- your company's website, including its legal notice, contact and team pages;
- your public professional profile on LinkedIn;
- business data providers and public company registers;
- where it matters for the offer, public data about your company's buildings, such as roof area and solar potential estimated from aerial imagery.
What data we use
We use your name, job title, the company you work for, your business email address, where available your business phone number and the address of your LinkedIn profile, public information about your company such as industry, size, locations, projects and news, and the emails we exchange with you.
What we do with it
- We write you a personal business email about the solar company's offer and may send a small number of follow ups.
- When you reply, we read your answer and respond. Some answers are written by an AI language model within facts and limits set by us and our client, and our founders can step in at any point. If you prefer to talk to a person, say so and one of them will answer.
- If you ask for proof first, we send you a sample, for example an overview of roofs or leads around you.
- If you want to talk, we book a meeting with the solar company at a time that suits you, may ask you a few short questions before the call, and pass your details and answers to that company. From then on, the solar company handles your data as its own controller.
We do not sell your data, and nothing we do leads to automated decisions with legal or similarly significant effects on you.
Legal basis
We process your data on the basis of our legitimate interest and that of our client in offering relevant products and services to businesses (Art. 6(1)(f) GDPR). We only use business contact data, we only write to people for whom the offer is relevant because of their role, we keep the number of emails small, and you can stop all contact at any time. This page is our information to you under Art. 14 GDPR.
How to opt out
You can object to this outreach at any time, without giving a reason. Either of these works:
- reply to any of our emails, for example with the word "remove";
- write to nikon.mazur@agentic-solar.com.
We then stop contacting you, delete your data and keep only your email address on a block list, so that none of our campaigns, for any client, contacts you again. If you want your whole company excluded, tell us and we add the company to the block list too.
How long we keep your data
We keep your data while the campaign is running. If you do not reply, or the conversation ends without a meeting, we delete it at the latest 12 months after the last contact. If a meeting is booked, we keep the record that it took place for as long as we need it to bill our client and as tax law requires, which is seven years in Austria. If you opt out, we keep only your email address on our block list.
Who else receives your data
To run the outreach we use service providers that process data on our behalf: an email sending platform, mailbox providers for our sending domains, data enrichment providers, AI language model providers and the CRM in which we manage conversations and bookings. Some of them are based in the USA. Those transfers rely on the EU US Data Privacy Framework or on the Standard Contractual Clauses of the European Commission. If you agree to a meeting, the solar company you meet receives your details. Our privacy policy lists the recipients in more detail.
Your rights
You have the right to get a copy of the data we hold about you, to have it corrected or deleted, to have its use restricted and to object to its use. To use any of these rights, write to nikon.mazur@agentic-solar.com and we answer within one month.
You can also complain to a data protection authority. In Austria this is the Österreichische Datenschutzbehörde, Barichgasse 40 to 42, 1030 Vienna, www.dsb.gv.at. You can also turn to the authority in the EU country where you live or work.
